Give kitchen staff a PIN for the kitchen display

Last updated on Oct 16, 2026

Kitchen staff sign in to the kitchen display with their own PIN, not a password. An admin creates them in the merchant portal.

Add a KDS user

  1. On the Dashboard, select the Users tile. Admin only.
  2. Select Kitchen Display (KDS) in the left-hand list.
  3. Select New KDS user.
  4. Fill in First Name, Last Name and Email.
  5. Enter a PIN (4-6 digits).
  6. Choose the KDS Role: Staff or Manager.
  7. Leave Status at Active.
  8. Select Save changes.

Done looks like "User saved!", and the person is in the list with their Name, Email, Role and Status.

A KDS PIN only works on the kitchen display

The section says it plainly: "A KDS PIN only works on the Kitchen Display." Staff who also use the POS or a kiosk need a separate staff PIN under Users → Staff. See Give staff their own PIN for the POS and Kiosk.

PIN rules

The field's own note: "No repeating digits (1111) or patterns (1212)." Pick something that is not the year or the shop's street number either: everyone in the kitchen watches it being typed.

Staff or Manager

Manager is the higher of the two roles. Give it to the people who need to change how the display behaves, and give everyone else Staff.

On the kitchen display, a Manager sees every settings tab, and can reject, void or refund an order straight away. When someone signed in as Staff does one of those, or unlocks settings, a Manager approves it by entering their own PIN. See Unlock settings that need a manager PIN.

A user whose role shows Admin (all locations), with Locked instead of Edit, signs in at every location of your business. Contact us to change them.

If there is no New KDS user button

  • Set up your free KDS shows instead: your store has no kitchen display set up yet. See Set up a kitchen display with a licence key.
  • "Only admins can see and manage Kitchen Display users.": you are signed in without Admin. Ask an admin at your store.

Reset a forgotten PIN

  1. Open Users, then Kitchen Display (KDS).
  2. Select Edit on that person's row.
  3. Enter a new PIN (4-6 digits). Leave it blank to keep the current one.
  4. Select Save changes.

Removing someone

There is no delete. Select Edit on their row, set their Status to Inactive and select Save changes. Their name drops off the kitchen display's sign-in list the next time the screen is online.
