Change how many taps it takes to clear an order

By default an order takes three taps to clear. A busy kitchen usually wants fewer. The three modes | Mode | How it works | |---|---| | Full Workflow | Step through every stage — three taps to clear. The default | | Two-Tap Bump | The first tap selects the order, the second clears it | | One-Tap Bump | A single tap clears it. You get five seconds to undo | Full Workflow is the one to keep if you want the board to show what is being made right now, since each order sits visibly at Preparing and Ready. With Two-Tap or One-Tap, a bump clears the order from whatever stage it is at, so orders no longer move through Preparing and Ready on the way. An order that arrives as New still needs Accept first, in every mode. Change it Settings, Kitchen, Workflow with Full Workflow, Two-Tap Bump and One-Tap Bump 1. Open Settings → Kitchen → Workflow. Signed in as staff, you do not see the Kitchen tab: tap Unlock and have a manager enter their PIN. See Unlock settings that need a manager PIN. 2. Tap the mode you want. It applies immediately. The mode is shared: it changes every screen at this location, not just this one. Unpaid orders Whichever mode you pick, an unpaid order does not clear straight away. Payment Required asks how it was paid. Tap Cash or Card and the order clears. Undoing a one-tap bump After a single-tap clear, Order completed shows with an Undo button for five seconds. Undo puts the order back at Ready. After that, see Bring back an order you have already cleared.

Change the display size, colours and alert sound

These settings are available to everyone, including staff logins — no manager PIN needed. They are saved on this screen only, and apply to everyone who signs in on it. Display settings Card and text size Settings → Display has two separate size controls, and they do different things: - Order Card Size — how wide the cards are, and so how many fit on screen. Compact fits the most, Standard fewer, Large the fewest. How many you see depends on the width of the screen. This option does not show on a phone-sized screen. - Content Size — how big the text is inside a card. Small, Medium, Large or Extra Large. Medium is the default. If the screen is across the kitchen and hard to read, raise Content Size first. If you need to see more orders at once, drop Order Card Size. Colours Colour Theme changes the palette used for the stage colours on card headers: | Theme | Best for | |---|---| | Professional | The default — muted, easy on the eye over a long shift | | Modern | Vibrant and highly saturated | | High Contrast | Maximum readability, and the best choice for a screen in bright light | | Classic | A more traditional palette | Appearance sets Light, Dark or Auto. Auto follows the tablet's own light or dark setting. Dark is usually easier in a dim kitchen; light is better under bright overhead lighting. Time format Time Format has three choices: Auto uses your location's own setting, or pick 12h or 24h. You can also just tap the clock in the sidebar to switch between them. Sound Settings, Sound with the alert sounds and the volume slider Settings → Sound controls the alert that plays when an order arrives. Enable sound alerts must be on to see the rest. | Sound | Character | |---|---| | Chime | Two ascending tones — the default | | Bell | A single bright tone | | Ding | A quick double tap | | Alert | An urgent three-tone, for a noisy kitchen | Use the Volume slider to set the level. Tap a sound to choose it. To hear one first, tap the play button next to it, so you can compare them with the kitchen's extraction fans running. Keeping the screen on Keep Screen Awake, under Device Settings on the Display tab, stops the tablet sleeping mid-service. It is on by default. Leave it on for any screen being used as a permanent kitchen display. It shows only in the installed app, not in a web browser. On an Android tablet, Auto-start on Boot in the same place opens the app when the tablet starts.

Unlock settings that need a manager PIN

Signed in as staff, you see three settings tabs — Display, Sound and Account. Managers and admins see four more: Kitchen, Printers, Virtual and Staff. This is why an instruction to "open Settings → Virtual" sometimes finds no such tab. Unlock them The Authorisation Required dialog asking a manager for their PIN 1. Open Settings. 2. Tap Unlock, the padlock at the top right next to the close button. 3. Authorisation Required opens. Pick a manager or admin from the list. If there is only one, their name is already picked. 4. Have them enter their PIN and tap Submit. Done looks like a green label naming who approved, such as Unlocked by Alex (Manager), in place of the padlock, and all seven tabs. The unlock lasts until Settings is closed, so it does not leave the screen open to changes. Signed in as a manager or admin, you see every tab without unlocking. For adding and removing people under Staff, see Add, change or remove kitchen staff on the display. If the dialog says No managers or admins on this screen, the display has no manager PINs to check. If it is offline, connect it and try again. If it is online, nobody here is a manager or admin yet: one is added in the back office, or, at a brand-new venue, with Set up the first manager on the sign-in screen. Actions that ask for a PIN Signed in as staff, four things need a manager or admin PIN: - Reject an order - Void Order - Refund an order - Unlock settings Signed in as a manager or admin, these go straight through without a PIN. For voiding and refunding, see Void an order, or refund it. Everything else — accepting, preparing, bumping, recalling, striking off items, marking an order as paid — is available to any signed-in user. A wrong PIN A wrong PIN shows a message such as Invalid PIN. 2 attempts remaining. When the screen is online, three wrong PINs in a row stop manager approval on this screen for five minutes. When there is no internet PIN authorisation still works offline. The display keeps a secure copy of manager PINs for exactly this reason, so a network outage does not stop you voiding an order. The copy is refreshed while the display is online — every minute on the sign-in screen, and as soon as the connection comes back — so a manager added while it was offline is not on it until then. The one exception is Staff: adding or removing people needs the server to check the manager's PIN. Settings unlocked offline opens every other tab, and Staff asks for the PIN again once the display is online.

Highlight items and allergens in colour

Colour an item so it is hard to miss, or make a word such as "gluten" or "no" stand out in the modifiers. These settings are on the Kitchen tab, so a manager must be signed in, or unlock settings first — see Unlock settings that need a manager PIN. They are shared by every screen at the venue. Open Settings → Kitchen → Styling. Item & Modifier Styling is on by default. Switching it off hides every colour but keeps your rules. Colour an item Settings, Kitchen, Styling with a blue Burger item colour and the Allergen Alert keywords 1. Tap Add Item Colour Rule. Select Items opens. 2. Choose how the name must match: Exact, Contains or Starts with. 3. Tap an item under Currently in queue or Recent items (30 days), or type one under Or enter manually and tap Add. Close the list when you are done. 4. The rule is added in red. To change the colour, tap the square beside it. The item's name and quantity take the colour on the card, in the all-day bar and in Consolidated Items. Capitals do not matter. If two rules match one item, the higher one wins. Highlight a word in modifiers 1. Tap Add Keyword Style and type the Keyword. 2. Choose a Match Mode. Whole word finds "no" in "No onion" but not in "Gnocchi". Contains finds it in both. 3. Tap Add Keyword, then Cancel to close the box. The word shows in bold red. Tap the square beside it for another colour. For a ready-made set, tap a button under Quick presets. Words you already have are skipped. | Preset | Words | Style | |---|---|---| | Allergen Alert | gluten, dairy, nut, allergy | Bold red on pale red | | Removals | no, without, remove, hold | Bold red | | Additions | add, extra, double | Bold green | | Substitutions | sub, swap, instead, replace | Orange italic | Allergen Alert matches "nut" as a whole word only, so "nuts", "peanut" and "walnut" are missed. Add the words your menu actually uses. What is never highlighted - Keywords only colour modifier lines. Item names and Note: boxes stay plain, even with Apply To set to All text — an allergy typed into a note is not highlighted. - Struck-off items and modifiers lose their colour. - POS orders that show as a copy of the printed docket have no colours. To remove a rule, tap the bin beside it. Done An order card with Beef Burger in blue, the word Gluten highlighted in red, and a struck-off item with no colour Matching items and words show in colour on every screen at the venue. If something is not right | Message | What it means | |---|---| | Maximum 32 rules reached | Item and keyword rules share a limit of 32. Delete one first. | | "nut" already has a keyword rule | That word is already listed. Change its colour instead. | | All keywords from this preset already exist | Nothing new to add. |

Show how long each order has been waiting

The order timer puts a running clock on every card. It can also colour each header by how long the order has waited. Both settings are on the Kitchen tab, so a manager must be signed in, or unlock settings first — see Unlock settings that need a manager PIN. They are shared by every screen at the venue. Turn on the timer Settings, Kitchen, Timer with Order Timer and Timer Priority Colours on and the Standard preset Open Settings → Kitchen → Timer and switch on Order Timer. It is on by default. The clock sits in the card header, after the time the order came in — for example "12:04 · 7:32". It counts up from when the order arrived. An order due more than two minutes after it came in counts down to its due time instead, then counts up how late it is. The two look the same, so watch the border: it pulses red once an order is late. Colour the header by time Three cards about 6, 4 and 1 minutes old, with red, orange and green headers 1. Switch on Timer Priority Colours. It does nothing while Order Timer is off. 2. Pick Relaxed, Standard or Urgent. Every header starts green, then changes as the order waits: | Preset | Orange from | Red from | |---|---|---| | Relaxed | 5 min | 10 min | | Standard | 3 min | 5 min | | Urgent | 2 min | 3 min | To set your own times, change the minutes or colours under Thresholds, and the preset switches to Custom. Add Threshold adds a step, up to five. Picking a preset again replaces your times. Header colours now show time, not the stage. The stage is still written under the order number. An order due later works differently: its header stays green until it is within the red time of its due time — 5 minutes on Standard — then turns red. At the due time it goes back to green, and steps up again as the order runs late. Different times for each order type If your venue takes two or more order types, tap Per-order-type overrides and switch on a type, such as Takeaway. It starts with a copy of your thresholds to change. POS orders use the order type read from the docket, or Takeaway when it names none. The pulsing border is separate The pulsing border shows whether or not the timer is on, and its times are fixed: orange in the last 5 minutes before the due time, red once it has passed — see What the colours on an order card mean. POS orders sent through the Virtual Printer have no due time of their own. Their timer counts up from when the docket arrived, and their border is red as soon as they are accepted. For those orders, the timer is how you see which has waited longest. Done Each card shows a running clock after the time it came in. With Timer Priority Colours on, the headers turn from green to orange to red as orders wait.

Print dockets from the display

The display prints kitchen dockets — items, modifiers and notes, no prices — automatically or by hand. Adding a printer needs a manager. Check this screen's licence, sync and app version

Settings → Account shows who is signed in, this screen's licence and whether it syncs its orders. Tap SETTINGS in the sidebar, then Account. Everyone can open it. Sync to Server shows only to managers, or once settings are unlocked — see Unlock settings that need a manager PIN. What is on it Settings, Account showing Logged In As, PIN Login, Sync to Server, the License and the Device - Logged In As: your name and role, and Logout. - PIN Login: Change PIN — see Change your PIN on the display. - App Updates (tablet app only, not Windows or a browser): Check for updates looks for an update now. One that is found downloads in the background, and a banner offers Install now once no orders are in progress. - Licence: Pro or Standalone, a status such as Trial, Active or Expired, and a line such as Trial — 12 days remaining or Pro (Recurring) — licence period ends in 20 days. No licence on this screen yet. means it has none. - Device: this screen's name and location. Tap it for the Merchant ID, Location ID and Device ID support may ask for. The app version is on HELP, under Build Information. Sync to Server The Enable sync switch decides whether this screen sends its orders to the server and shows orders from other screens. The line under it reads: - Orders sync to server automatically: on. - Local mode — orders stay on this device: off. The bottom-right corner of the board reads Local mode. - Required — integrations are configured for this location: it cannot be turned off, for example where online orders come in. - Standalone licence — orders stay on this device: a Standalone licence never syncs. Before turning it off, see Run more than one kitchen screen. Failed sync items Queue shows changes still to send, such as 2 pending, 1 failed. A change is marked failed only when the server turns it down, after five tries at most. Tap the failed count to see each one and its error. A Standalone screen shows Queue too, under Sync to Server: its orders stay on the screen, but docket-template changes and diagnostic captures still go to the server. - Retry All sends them again. - Clear Failed throws them away, so they never reach the server. Failed items are also cleared after 7 days. Done Last sync reads Just now or a few minutes ago, and Queue has gone: everything this screen changed has reached the server. Add, change or remove kitchen staff on the display

A manager or admin can add the people who sign in at this location, give them a PIN, reset a forgotten PIN and remove someone who has left, on any display here. No email is needed, and the kitchen stays signed in. Open the Staff tab 1. Tap SETTINGS in the sidebar. 2. Signed in as a manager or admin, tap Staff. Signed in as staff, tap Unlock first and have a manager or admin enter their PIN — see Unlock settings that need a manager PIN. Staff lists everyone at this location under Staff, Managers and Admin. Each person shows PIN set, or No PIN · not on the sign-in list. It needs the internet: the server checks every change before it is saved. A manager's approval lasts 10 minutes, or until Settings closes. After that the tab reads A manager needs to approve: tap Enter manager PIN again. Add someone 1. Tap Add staff. 2. Type a First name, and a Last name if you like. If there is already someone with that first name here, the display suggests adding a last name or initial so people can tell you apart. 3. Pick the Role: Staff, or Manager (an admin only). 4. Give them a PIN. Either type it on the keypad, tap Next, type it again and tap Confirm PIN, or tap Make one up: the display picks one and shows it, such as 4826, with Tell Kim before you add them. It isn't shown again. Make another picks a different one; Type one instead brings the keypad back. 5. Tap Add and their name, such as Add Kim. Done looks like Kim added, and Kim in the list. Every display at this location has them on its sign-in list within a minute. A PIN is 4 to 6 digits, and not one digit repeated (1111) or a repeated pattern (1212). Reset a forgotten PIN 1. Tap ⋮ beside the person, then Reset PIN. 2. Type the new PIN, or tap Make one up and tell them the PIN it shows. 3. Tap Save PIN. New PIN saved for Kim confirms it. It works on every display here within a minute. Anyone signed in as that person stays signed in. Your own PIN is changed under Account instead — see Change your PIN on the display. Fix a name Tap ⋮ → Edit name, change it, and tap Save name. The sign-in list shows the new name. Remove someone who has left 1. Tap ⋮ beside them, then Remove. 2. Tap Remove and their name to confirm. They leave the sign-in list on every display at this location, and are signed out wherever they are signed in. If they are the person signed in on this display, it signs this display out too. To bring them back, add them again. Managers and roles A manager can add and change Staff. An admin can also add a Manager, and change someone's role with ⋮ → Change role. These always ask for an admin's PIN again, even with an admin signed in: An admin approves this change. A role change signs that person out wherever they are signed in. Anyone you cannot change shows View only: admins, your own entry, and, for a manager, the other managers. Change those in the back office. What only the back office can do - Someone who also works at another location shows Also at and the other location's name. Here you can fix their name and reset their PIN, but not remove them or change their role: Kim also works at Harbour St, so only the back office can remove them. - Admins, email addresses and passwords. A new venue: Set up the first manager When nobody has ever been set up at a location, its sign-in screen shows Set up the first manager instead of a list of names. 1. Type the person's First name and Last name. 2. Type a PIN twice, or tap Make one up — it shows Your PIN with Remember it. You'll sign in with it from now on. 3. Tap Create and sign in. For a new business, they become its admin, for every location. For a new location of a business that already has an admin, they become this location's manager, and the business's admins get an email saying so. The card shows only until the first person is set up. It needs the internet: offline it reads Setting up the first manager needs an internet connection. If something is not right | You see | What to do | |---|---| | Managing staff needs an internet connection. | The display cannot reach the server. Orders and sign-in keep working. Tap Try again once it is back online. | | Sign in again with the internet on to manage staff. | You signed in while the display was offline.
