How the POS hardware connects at your counter

A POS counter has five pieces of hardware and one internet connection. Apart from power, there are only two cables: the printer's LAN cable and the cash drawer's cable. Everything else talks over the internet. What you need - Internet: Wi-Fi at the counter, and a spare LAN port on the router for the printer. - An EFTPOS terminal from your bank, with Linkly Cloud turned on, and your Linkly username and password. For a Tyro terminal, see With a Tyro terminal below. - A tablet (10 inches or larger, used in landscape) or a PC, with Chrome. - A Star CloudPRNT printer, with paper and a LAN cable. An Epson with ePOS-Print works too, printed straight from the POS, but it prints online orders only while the POS is open: see Set up an Epson receipt printer. - A cash drawer, with its cable. - Optional: a barcode scanner that reads QR codes (a "2D" scanner), USB or Bluetooth, to scan customers' loyalty cards. A hands-free one in a stand lets customers scan their own card. The tablet's camera can scan them too, more slowly. See Choose and set up a barcode scanner for loyalty cards. What plugs into what Wiring at a POS counter: the router connects to the internet; the tablet and the EFTPOS terminal are on its Wi-Fi; the printer has a LAN cable to the router; the cash drawer's cable goes into the printer - The printer: a LAN cable to the router. Cloud printing doesn't work over USB. - The cash drawer: its cable goes into the printer's drawer port (Cash Drawer / Buzzer on the Star mC-Print3 and MCP30, DK on some other models). The printer opens the drawer, and only while it has paper. - The tablet: on your staff Wi-Fi. Nothing plugs into it. - The EFTPOS terminal: on the same Wi-Fi, or its own 4G if your bank set it up that way. - A barcode scanner (optional): USB into a PC, or paired with the tablet over Bluetooth. Set it to work as a keyboard (often called HID or keyboard mode, usually how it comes), and to send Enter after each scan. It types what it reads, and the POS picks out a loyalty card wherever you are on the menu or checkout. See Choose and set up a barcode scanner for loyalty cards. Everything also needs power. How a sale travels A card sale goes from the POS through Linkly Cloud to the EFTPOS terminal and back. A docket goes from the POS to mypreorder; the printer collects it and opens the drawer for cash The tablet, the terminal and the printer never talk to each other directly. They reach each other through the internet, so each one needs its own working connection. - A card sale: the POS sends the amount to Linkly Cloud, which asks your EFTPOS terminal for the card. Approved or declined comes back to the POS. - A docket: the POS sends the order to mypreorder, and the printer collects it at its polling time. Set that to 5 seconds on a counter printer. For a cash sale, the printer opens the drawer as the docket prints. Online orders from your app and website print on the same printer. Set it up, in this order 1. Ask your bank to turn on Linkly Cloud on the terminal, and for your Linkly username and password. Do this first: banks can take a few days. 2. Set up the printer. See Set up a Star CloudPRNT docket or label printer. 3. Plug in the cash drawer and tick Cash drawer on the printer. See Connect a cash drawer to the POS. 4. Add the POS device's login. See Add a POS or Kiosk device. 5. Add its pinpad. See Connect a Linkly EFTPOS pinpad to a POS or Kiosk. 6. Set up the tablet. See Set up a tablet or PC for the POS. 7. Sign in and pair the terminal. See Sign in a POS or Kiosk and pair the EFTPOS terminal. Optional: Give staff their own PIN for the POS and Kiosk, and Turn on the till (cash management) for your POS. With a Tyro terminal Card payments go through Tyro instead of Linkly Cloud, and there's no Linkly username, password or pair code. Everything else connects the same way. See Set up a Tyro terminal for a POS or Kiosk. If something is not right | What you see | What to do | |---|---| | One device stops working | Check that device's internet first: the printer's LAN cable, the tablet's Wi-Fi, the terminal's Wi-Fi or 4G. | | Dockets don't print | See Order dockets are not printing. | | The drawer doesn't open | Check the printer has paper. Add a POS or Kiosk device

Each POS and each kiosk signs in with its own device login. An admin adds it in the merchant portal, under Users. Before you start - An admin login. Only admins see the New button, Device PIN and Clear lockout. - One device login per counter or tablet. Tablets that share a login share one till, and each device login has one EFTPOS pinpad. - An email address for the device that no other POS or kiosk login uses. The device signs in with it. Add the device Users β€Ί POS devices in the merchant portal: New POS device, what a POS device is for, Cash management, and the list of devices 1. Go to Users β†’ POS devices (or Kiosk devices). 2. Select New POS device (or New kiosk device). 3. Name: name it after the counter or spot, such as "Front counter". The name shows on the POS's staff sign-in and lock screens, in the Assigned User list when you link its pinpad, and on its cash-ups. 4. Email: the device's sign-in email. 5. Password and Password Again: at least 6 characters. Generate makes one and shows it once. Keep it in your password manager, not on the device. 6. Select Save changes. Done looks like "User saved!" and the new device in the list, with its Device name, Device sign-in email, POS device PIN (or Kiosk device PIN) and Status. Set its Device PIN The Device PIN opens Manager access on that device: refunds, pairing the pinpad again and signing the device out. It works on that device only. A Kitchen Display PIN doesn't work there. 1. On the device's row, select Device PIN. 2. Type 6 digits in New PIN and again in New PIN again. Avoid repeated digits, runs like 123456 and repeating patterns. 3. Select Set PIN. Setting a PIN also clears a lockout and ends any manager session open on the device. Once you add a Manager under Users β†’ Staff, managers open Manager access with their own staff PIN, and the device's PIN column reads "Not used: managers use their staff PIN". See Give staff their own PIN for the POS and Kiosk. Next: its pinpad, then sign it in 1. Link the device to its EFTPOS pinpad. Link an EFTPOS terminal on the section opens Settings β†’ Eftpos Integration. See Connect a Linkly EFTPOS pinpad to a POS or Kiosk or Set up a Tyro terminal for a POS or Kiosk. 2. Sign the device in with its email and password. See Sign in a POS or Kiosk and pair the EFTPOS terminal. Change or deactivate a device Select Edit on the device's row to change its name, email or password. Leave the password fields blank to keep the current one. To stop a device being used, set Status to Inactive and select Save changes. It is signed out straight away, and signing in shows "This login has been deactivated. The store can reactivate it in the merchant portal, under Users." Set Status back to Active to use it again. Locked out by wrong PINs After too many wrong PINs, the device's Status shows "Locked by wrong PINs: 5 min" (the time left). Select Clear lockout to end it now. If something is not right | What you see | What to do | |---|---| | The section has no New button and no device list | The POS (or kiosk) isn't switched on for your store. Give staff their own PIN for the POS and Kiosk

Give each person who uses your POS their own staff PIN. The POS then asks for it to unlock, and records who took each order, payment and refund, and who opened and closed the till. A Manager's PIN also opens Manager access on your POS and kiosks. Admins only. Staff appears under Users once your store has the POS or the kiosk switched on. Before you add the first person Your first staff member changes how every POS device at the store unlocks. The portal says so: "Once you add your first staff member, your POS devices ask for a staff PIN every time they unlock." - From then on, each POS device opens on a staff sign-in screen, and nobody can take an order until someone enters their PIN. Add everyone who works the counter before the next shift. - A POS that is already open changes over within 5 minutes, or straight away when its page is reloaded. - Kiosks have no staff sign-in. Customers order as before. Add a staff member 1. Open Users β†’ Staff. 2. Select New staff member. 3. Enter their Name. It shows on cash-ups and reports, so use the name the team knows them by. 4. Choose the Role: Staff, or Manager (also opens Manager access). 5. Enter a Staff PIN, and the same again in Staff PIN again. 6. Select Save. New staff member: Name, Role, Staff PIN and Staff PIN again Done looks like "Staff member saved" and a new row showing their Role, Staff PIN Set, Status Active and Last active Never. Tell the person their PIN privately: it can't be shown again. PIN rules: 4 digits for Staff and 6 for a Manager. Different from everyone else's at this store. Not repeated digits (1111), runs (1234 or 4321) or repeating patterns (1212). What a Manager's PIN opens on the POS and Kiosk Once the store has an active Manager: - A Manager's own staff PIN opens Manager access on every POS and kiosk at the store: refunds, cancels, No sale and device settings. - The device PINs stop working for Manager access. Under POS devices and Kiosk devices their column reads "Not used: managers use their staff PIN". They work again only if no Manager is left. - A 4-digit Staff PIN never opens Manager access. Until you add a Manager, Manager access still uses each device's own PIN (Device PIN on its row). Change someone's details or PIN Select Edit on their row, change what you need, then Save. - A new PIN: type it in New staff PIN (leave blank to keep the current one) and again below. Leave both blank to keep the old one. - A new role: enter a new PIN in the same save, because the role sets the PIN's length. When someone leaves Edit their row, set Status to Inactive, and Save. As the screen says: "Inactive signs them out and clears their staff PIN. To bring them back, set a new one." Their name stays on past orders and cash-ups. Staff members are never deleted. Last active Last active is when the person last signed in on a POS, in your computer's time. Never means they haven't signed in yet. A POS or Kiosk locked out by wrong PINs Five wrong PINs in a row turn a device's keypad off for 1 minute, then 5, then 15. On a POS that stops anyone signing in. The device's row under POS devices or Kiosk devices shows Locked by wrong PINs: 5 min (or however long is left). Select Clear lockout on that row. You see "Lockout cleared" and the device accepts PINs again. If its screen still shows a countdown, reload the page on the device. KDS PINs are separate A Kitchen Display PIN only works on the Kitchen Display, and a staff PIN doesn't work there. See Give kitchen staff a PIN for the kitchen display. For what staff see on the POS, see Sign in to the POS with your staff PIN, switch and lock. If something is not right | What you see | What to do | |---|---| | "That staff PIN is already used by someone at this store. Choose another." | Pick a different PIN. Connect a Linkly EFTPOS pinpad to a POS or Kiosk

Each POS and each kiosk takes card payments on its own EFTPOS pinpad. You add the pinpad under Settings β†’ Eftpos Integration and link it to the device's login. This article covers Linkly pinpads. For a Tyro terminal, see Set up a Tyro terminal for a POS or Kiosk. For how the terminal, tablet, printer and cash drawer connect at a POS counter, see How the POS hardware connects at your counter. Before you start - An admin login. Only admins see Eftpos Integration. Until EFTPOS is turned on for your store, it shows a page about taking card payments, with Talk to us about EFTPOS. - The device's login, under Users β†’ POS devices or Kiosk devices. See Add a POS or Kiosk device. - One pinpad per device. Two counters need two device logins and two pinpads. Add the pinpad 1. Open Settings β†’ Eftpos Integration and select New Eftpos Pinpad. 2. Eftpos Provider*: choose Linkly. 3. Assigned User *: choose the device. The list shows every POS device and kiosk device at your store, by name and sign-in email. 4. Location: optional. Where the pinpad sits, such as "Front counter". 5. Tick Receipt Cut and Receipt Auto Print if you want them. 6. Status *: Active. 7. Select Save. POS ID reads (auto generated) until you save. You never type it. Then sign the device in and pair it The device picks up its pinpad when it signs in. The first time, it asks for your Linkly Username, Linkly Password and the Pair Code shown on the pinpad. See Sign in a POS or Kiosk and pair the EFTPOS terminal. Already signed in? Sign it out in manager mode (Sign out this device) and sign in again. The pairing is kept with the device's login. Swapped the pinpad later? See Pair a Linkly pinpad again. The list Each pinpad is listed with its Provider, POS ID, Location, Terminal and Status, with Edit on each row. To stop using a pinpad, edit it and set Status to Inactive. Refunds A Linkly refund runs on the pinpad that took the payment, and the customer taps or swipes their card there. - POS sales are refunded on the POS, from Orders. See Refund or cancel an order on the POS. - Kiosk sales are refunded at the kiosk, in manager mode. See Refund a card payment at the kiosk. The merchant portal's refund options can start a Linkly refund too. See Cancel or refund an order. Card surcharges - Australia: card surcharges ended on 1 October 2026, so mypreorder adds none. Menu Builder β†’ Order Types & Payments says "Payment surcharges ended on 1 October 2026." If your terminal adds a card surcharge by itself, ask your bank to turn it off. - New Zealand: you can set Surcharge Eftpos Payments under Menu Builder β†’ Order Types & Payments. If your terminal already adds a surcharge, leave it at No surcharge, or the customer pays twice. See Card and payment surcharges in Australia and New Zealand. Printing - POS: dockets print on the store's docket printer, where your online orders print. Set the polling time on the printer at the counter to 5 seconds. For a cash drawer, see Connect a cash drawer to the POS. - Kiosk: a kiosk with a Star CloudPRNT printer needs the printer's Name set to KIOSK in Settings β†’ Printers, and its polling time on the printer set to 10 seconds. See Set up a Star CloudPRNT docket or label printer. If something is not right | What you see | What to do | |---|---| | The device isn't in Assigned User | Add it under Users β†’ POS devices or Kiosk devices. A backoffice login can't take a pinpad. If you added it just now, open Eftpos Integration again. | | The device never asks to pair, or has no EFTPOS at checkout | Check the pinpad's Status is Active, then sign the device out and in again. | | Eftpos Integration shows Talk to us about EFTPOS | EFTPOS isn't turned on for your store yet. Select it to contact us. |

Set up a Tyro terminal for a POS or Kiosk

Tyro terminals connect through Tyro Pay Instore. Unlike Linkly, nothing is typed in on the POS or kiosk. You authorise mypreorder in Tyro's portal, pair the terminal with Tyro, then choose it in the mypreorder portal. Before you start - A Tyro terminal, and a login to Tyro's merchant portal with the System Admin role. - An admin login to the mypreorder portal, with EFTPOS turned on for your store. Until it is, Eftpos Integration shows a page with Talk to us about EFTPOS instead. - The device's login, under Users β†’ POS devices or Kiosk devices. See Add a POS or Kiosk device. - One terminal per device. Two counters need two device logins and two terminals. 1. Authorise mypreorder in Tyro You only do this once for your business. Every terminal under an authorised merchant ID can then be added. 1. In the mypreorder portal, open Settings β†’ Eftpos Integration and select New Eftpos Pinpad. 2. Eftpos Provider*: choose Tyro. The Tyro fields appear. 3. Under Merchant Authorisation, select Open the Tyro authorisation page. Tyro's portal opens in a new tab. 4. Sign in as a System Admin, select your merchant IDs (MIDs), and authorise them. 5. Back in the mypreorder tab, select Refresh next to Merchant (MID). Your merchant should now be listed without β€” NOT AUTHORISED after it. 2. Pair the terminal with Tyro These are Tyro's steps, on the terminal and in Tyro's portal: 1. On the terminal, go to Settings β†’ POS Pairing β†’ Mode, and choose Integrated. 2. In Tyro's portal, choose Pair Terminal and enter the terminal's ID (TID). 3. On the terminal, choose Pair with POS, then Start. If the menus on your terminal read differently, Tyro's own help has the current steps for your model. 3. Choose the terminal in the mypreorder portal Back in New Eftpos Pinpad, with Tyro chosen: 1. Assigned User *: the device. The list shows every POS device and kiosk device at your store, by name and sign-in email. 2. Location: optional. Where the terminal sits, such as "Front counter". 3. POS Reference: "The reference Tyro knows this merchant by. Use the same value for every terminal at the one merchant." 4. Merchant (MID): choose your merchant. The terminals under it load below. 5. Terminal (TID): choose the terminal you paired in step 2. Terminal Name fills in from Tyro. It is how the terminal appears in the pinpad list and in reports. 6. The receipt and surcharge options (below). 7. Status *: Active. 8. Select Save. If a list will not load, the portal ticks Enter manually for that field and says why underneath. Type the MID or TID exactly as Tyro shows it, with no spaces. You can tick Enter manually yourself at any time. Receipts - Receipt Cut and Receipt Auto Print: as for any pinpad. - Integrated Receipts: "Tick to include the Tyro EFTPOS receipt on the sales receipt." The card receipt then prints with the order. - Integrated Receipts Merchant Copy: appears once Integrated Receipts is ticked. "Tick to always print merchant copy sales receipts." Integrated Surcharging The surcharge is added by the Tyro terminal, not by mypreorder. Ticking Integrated Surcharging doesn't turn it on or off. It only tells customers paying by EFTPOS "A card surcharge may be added at the terminal." - Australia: card surcharges ended on 1 October 2026. Turn dynamic surcharging off in your Tyro terminal settings, and leave Integrated Surcharging unticked. We can't change Tyro's settings for you. - Where card surcharges are still allowed, such as New Zealand: if Tyro adds one, tick Integrated Surcharging, and leave Surcharge Eftpos Payments (Menu Builder β†’ Order Types & Payments) at No surcharge, or the customer pays twice. See Card and payment surcharges in Australia and New Zealand. 4. Sign in the POS or kiosk Sign the device in with its login. A device already signed in picks up its terminal at its next sign-in, so sign it out in manager mode (Sign out this device) and in again. A Tyro terminal needs no pairing on the device, so the menu appears straight away. See Sign in a POS or Kiosk and pair the EFTPOS terminal. Place a small test order and pay it on the terminal to check everything is connected. Refunds A Tyro refund is made on the terminal, with the customer there to present their card. The merchant portal can't send it. - POS sales: refund them on the POS. See Refund or cancel an order on the POS. - Kiosk sales: refund them at the kiosk, in manager mode. See Refund a card payment at the kiosk. If something is not right | What you see | What to do | |---|---| | Your merchant is listed with β€” NOT AUTHORISED, or "Tyro returned no merchants for this POS. The merchant may not have authorised us yet." | Authorise mypreorder in Tyro (step 1), then select Refresh. | | "No terminals are paired under this MID yet." | Pair the terminal (step 2), then select Refresh next to Terminal (TID). | | "The saved TID … is not paired under this MID." | The terminal was unpaired or swapped. Pair it again (step 2), or choose the terminal you use now. | | The POS or kiosk shows Terminal not set up when a customer pays | The pinpad's MID or TID doesn't match Tyro. The line underneath is Tyro's reason, such as "Merchant ID not found." or "Terminal is not paired. Please establish a pairing key for this terminal". Check the MID and TID in Eftpos Integration, and pair the terminal again if needed. No payment was taken. | | The device isn't in Assigned User | Add it under Users β†’ POS devices or Kiosk devices, then open Eftpos Integration again. | | "Tyro Pay Instore is not configured in this environment." | Contact us.

Sign in a POS or Kiosk and pair the EFTPOS terminal

Sign the POS or kiosk in once with its device login. The first time, it pairs its Linkly pinpad. After that it stays signed in and goes straight to the menu. Before you start - The device's sign-in email and password, from Users β†’ POS devices or Kiosk devices. See Add a POS or Kiosk device. - Its pinpad added first, under Settings β†’ Eftpos Integration. The device picks it up when it signs in. - For a Linkly pinpad: your Linkly Username and Linkly Password, and the pinpad switched on, online and showing its Pair Code. The address - POS: https://pos.mypreorder.com, the same for every brand. The device login decides which store it runs as. - Kiosk: https://kiosk.mypreorder.com, or your brand's own kiosk address, such as https://yourbrand-kiosk.mypreorder.com. We tell you which. An older kiosk may still be on an address ending in .app: its screen is titled Kiosk Sign In, and the steps are the same. Sign in 1. Open the address. The screen is titled POS Device Sign In (or Kiosk Device Sign In). 2. Enter the device's email in Device Sign-in Email, and its Password. 3. Select Sign In. The device sign-in screen on a POS in a fresh browser: Device Sign-in Email, Password and Sign In A POS takes POS device logins only, and a kiosk takes kiosk device logins only. Backoffice logins for the merchant portal don't work on either. Pair the Linkly pinpad (first time only) The first time a device with a Linkly pinpad signs in, Pair EFTPOS pinpad opens, showing its POS ID. 1. Enter your Linkly Username and Linkly Password. 2. Enter the Pair Code shown on the pinpad. 3. Select Pair Pinpad. It shows "Pairing pinpad…" while it works. The pairing is kept with the device login, so later sign-ins don't ask for it. Never write your Linkly password down on or near the device. A Tyro terminal needs no pairing on the device. It goes straight on. See Set up a Tyro terminal for a POS or Kiosk. Done The store's menu shows: the kiosk is ready for customers, and the POS for its first order. If your store has staff under Users β†’ Staff, the POS opens on its staff sign-in screen instead: "Enter your staff PIN to start." See Sign in to the POS with your staff PIN, switch and lock. A sign-in lasts about four weeks from the last time the device was used, so a device used every day stays signed in. If it keeps asking, see The POS or Kiosk asks to sign in again. If something is not right | What you see | What to do | |---|---| | "Invalid email or password" | Check the email against Device sign-in email in Users. Pair a Linkly pinpad again

Pair a Linkly pinpad again when you swap the terminal, or when Linkly stops accepting the old pairing. You do it in manager mode, so the POS or kiosk stays signed in. The current pairing keeps working until the new one succeeds, so a wrong pair code won't stop you taking payments. Tyro terminals are paired with Tyro, not on the device. See Set up a Tyro terminal for a POS or Kiosk. When you need to - You replaced the pinpad, or moved a different pinpad to this POS or kiosk. - A payment fails with "The secret was invalid. You will need to perform the PIN pad pairing process again." Before you start - Your Linkly Username and Linkly Password. - A manager PIN. Until your store has a Manager under Staff, it's the device's own PIN: an admin sets it in the merchant portal under Users β†’ POS devices (or Kiosk devices) β†’ Device PIN. Once it has one, managers use their own 6-digit staff PIN instead. See Give staff their own PIN for the POS and Kiosk. - The pinpad switched on and online, showing a Pair Code. Pair it again 1. Open manager mode. On a kiosk, tap the strip along the bottom of the screen five times within three seconds. On a POS, select Manager (on a narrow screen, it's in Staff tools). Then enter the manager PIN. 2. Under Terminal, select Pair terminal again. Manager mode closes and Pair the pinpad again opens. 3. Enter your Linkly Username, Linkly Password and the Pair Code shown on the pinpad. 4. Select Pair Pinpad. When it succeeds, the menu opens and the new pairing is used from the next payment. Changed your mind? Select Cancel: keep the current pairing. Never write your Linkly password down on or near the POS or kiosk. If pairing fails The screen shows "Pairing failed." with Linkly's reason. Check the pair code hasn't expired on the pinpad, get a new one, and try again. Until it succeeds, the old pairing stays in place. If something is not right | What you see | What to do | |---|---| | "No card terminal is configured for this device. Orders are taken without EFTPOS." | No pinpad is linked to this device. Add it in Settings β†’ Eftpos Integration, then sign the device out and in again. See Connect a Linkly EFTPOS pinpad to a POS or Kiosk. | | Terminal has no Pair terminal again | The device has a Tyro terminal, which is paired with Tyro. | | The device PIN doesn't open manager mode | Your store has a Manager under Staff, so only a manager's own staff PIN works now. | | "Too many incorrect PINs." | Wait for the countdown, or an admin selects Clear lockout on the device's row under Users. Ordering and payment carry on meanwhile. |

Choose how POS and Kiosk customers order and pay

Choose what the POS and the kiosk offer: which order types, how they are timed, and how customers pay. It is one screen in the merchant portal, with a column for each way of ordering. Open Order Types & Payments 1. Open Menu Builder. 2. Select Order Types & Payments in the left-hand list. The grid has one column for each way of ordering: - Customer app: the app and online ordering. Always shown. - Kiosk: shown when your store has kiosk ordering. - POS: shown when your store has the POS. Order Types & Payments: the Customer app, Kiosk and POS columns. The Kiosk follows the customer app; the POS has Use different settings ticked, with EFTPOS and Cash on and Pay at counter off. The Card (keyed) row, for staff typing a card's details for phone orders or when EFTPOS is down, reads Off: needs your own online payment gateway in the POS column The settings are saved with your menu. A catering menu doesn't use them. The kiosk and POS follow the customer app at first Until you change it, the Kiosk and POS columns say "Showing what the kiosk does today. Follows the customer app." (or the POS). Their boxes can't be ticked, and they change as you change the Customer app column, so they always show what saving will do. To give the kiosk or the POS its own settings: 1. Tick Use different settings at the top of its column. It now says "Custom settings for the kiosk" (or the POS), and starts from what the column showed, so nothing changes until you change a box. 2. Tick or untick the order types and payment methods for that column. 3. Select Save Changes at the bottom of the tab. Done looks like "Order types and payments saved". To make a column follow the customer app again, untick Use different settings and save. On the kiosk column, the switch also warns "Older kiosks (version 3) will also stop offering delivery and later times." Order types | Row | Kiosk | POS | |---|---|---| | Pickup / takeaway | Yes, shown as Takeaway on the kiosk | Yes | | Dine-in at table | Yes | Yes | | Dine-in bookings | No: β€” Not on the kiosk | Yes | | Delivery | No: β€” Not on the kiosk | Yes | Off: not offered at this store means that order type isn't switched on for your store. Contact us if you need it. If the grid says "Order types at this store are set up by mypreorder (custom fulfilment options), so they are not listed here.", only the payment rows apply to you. Payment methods - Online payment: the customer app only. The other columns show β€” Not on the kiosk and β€” Not on the POS. - EFTPOS: "A terminal paired with the kiosk or POS". Each device needs its pinpad linked: see Connect a Linkly EFTPOS pinpad to a POS or Kiosk. Off: not offered at this store means EFTPOS isn't set up for your store yet. - Pay at counter: "Called Other on the POS". On the kiosk the customer chooses At Counter, places the order and pays at the counter. On the POS, Other records a sale paid some other way. - Cash: "Records the cash and opens the drawer". The POS only, at checkout and in Orders β†’ Take payment. For the drawer, see Connect a cash drawer to the POS. - Card (keyed): "Staff type a card's details for phone orders, or when EFTPOS is down. Charged through your own online payment gateway. You carry the risk if the cardholder disputes it." The POS only, and only with Use different settings ticked. It needs your own online payment gateway: a greyed cell says why it's off. See Take a card over the phone (keyed card). If Cash says β€” Not with your POS integration, your store is linked to a third-party point-of-sale system under Settings β†’ POS Integration (Kounta or Square, for example). The POS can't take cash at those stores. Each column you set needs at least one order type and one payment method. Otherwise saving stops with a message such as "Kiosk: choose at least one payment method." How staff then take payment is in Take payment on the POS: EFTPOS, cash or other. Timing - The kiosk is always ASAP. Its cells say ASAP only. - On the POS, Pickup / takeaway and Delivery each have a timing choice: ASAP only, ASAP or scheduled or Scheduled only. With scheduled times, choose how far ahead: Today only, Up to 1 day ahead to Up to 30 days ahead, or No limit. - Dine-in at a table is always ASAP, and bookings are always scheduled. - Menus with pickup locations, delivery slots or delivery stops keep their own schedules. Surcharges The Surcharges section is on the same tab, below the grid, and saves with it. Australian stores see that card surcharges ended on 1 October 2026. Connect a cash drawer to the POS

Set up your cash drawer so the POS opens it for cash. The POS opens the drawer through the docket printer it's plugged into, so the set-up is one setting on that printer. Admins only. The kiosk never opens a drawer. Before you start - A Star or Epson docket printer at the counter that already prints your POS orders. See Set up a Star CloudPRNT docket or label printer or Set up an Epson receipt printer. - The drawer's cable plugged into the drawer port on the back of that printer: Cash Drawer / Buzzer on the Star mC-Print3 and MCP30, DK on an Epson and some other Star models. Its plug also fits the LAN port, so check which one you use. The drawer cable goes into the Cash Drawer / Buzzer port on the back of a Star MCP30 Picture from Star Micronics' manual: Connecting a cash drawer. Other Star models have the same port in a different place. Keep paper in the printer. It won't open the drawer when it's out of paper. 1. Switch off the printer's own drawer option Some printers are set to open the drawer on every print. Switch that off in the printer's own settings first. Otherwise the drawer opens for every docket, online orders and reprints included. Not sure how? Contact us or your hardware supplier. 2. Tick Cash drawer in the merchant portal 1. Go to Settings β†’ Printers. 2. Select Edit on the docket printer the drawer is plugged into. 3. Under Cash drawer, tick A cash drawer is plugged into this printer. 4. If Opens for appears, choose which POS device opens it (see below). 5. Select Save changes. The Cash drawer section of a printer on Settings β€Ί Printers: A cash drawer is plugged into this printer Cash drawer isn't offered for a Product labels printer, or for a printer named KIOSK. Opens for: one drawer or two counters Opens for appears once your store has more than one POS device. - Every POS device: every POS device at the store opens this drawer. Right when you have one drawer. - One device by name: only that POS device opens it. With two counters, each with its own drawer and printer, set each printer's Opens for to its own counter's device. Opens for follows the POS device's sign-in, not the tablet. Two tablets signed in with the same device login open the same drawer. Give each counter its own device: see Add a POS or Kiosk device. When the drawer opens - A cash sale on the POS, as its docket prints on this printer. - Cash taken for an order in Orders (Take payment, paid in cash). - A cash refund on the POS, including cancelling an order that was paid in cash. - No sale: open the cash drawer in Manager. - With the till on: Paid in, Paid out and Close till. See Turn on the till (cash management) for your POS. It doesn't open for app, kiosk, EFTPOS or Other orders, for Already paid?, for refunds made in the merchant portal, or when a docket is reprinted. On a Star printing through CloudPRNT it takes a few seconds, because the printer checks for work at its polling time. Set that to 5 seconds on a counter printer: see Set up a Star CloudPRNT docket or label printer. To have it open at once, let the POS print straight to the printer: see Print straight from the POS to your printer. An Epson is always printed straight from the POS, so its drawer opens at once. If it doesn't open, use the key. A cash sale opens the drawer only within 90 seconds of the sale. If its docket prints later (the printer was off or busy), it prints without opening the drawer: use the key. A drawer popping open long after the sale is worse than using the key. Where the till's X and Z reports print With the till on, a POS device prints its X and Z reports on: 1. the drawer printer whose Opens for is that device; or else 2. a drawer printer set to Every POS device; or else 3. your docket printer named 1 (the one that prints every order). A Product labels printer, a KIOSK printer, or a printer with another name such as KITCHEN is never used: it might be in the kitchen. Tax invoices printed at the till, and Reprint at the till in Reports β†’ Cash-ups, go to the same printer. Test it 1. On the POS, select Manager and enter a manager's PIN. 2. Select No sale: open the cash drawer. The POS says "Sent. The drawer opens in a moment; if it doesn't, use the key." 3. The drawer opens within a few seconds. 4. Ring up a small cash sale: the drawer opens once, with the docket. Reprint the docket: the drawer stays shut. If it doesn't work, see The cash drawer doesn't open, or the till won't print.

Turn on the till (cash management) for your POS

Turn on cash management to give each POS device its own till. Staff start it with a float, record cash paid in and out, check it with an X report and cash up with a Z report. It stays off until an admin turns it on. Before you start - An admin backoffice login. The switch doesn't show to other logins. - At least one POS device. See Add a POS or Kiosk device. - A cash drawer on the receipt printer at each till, ideally. The till works without one, but the drawer won't open for it and its reports may not print. See Connect a cash drawer to the POS. Turn it on 1. In the merchant portal, go to Users β†’ POS devices. 2. In the Cash management box, tick On. The Cash management box under Users β€Ί POS devices, ticked On The portal says "Cash management is on: your POS devices will offer to start the till", and Reports gains a Cash-ups tab. What changes on the POS Within a minute, or when the POS is reloaded. There's no need to sign the POS out. - A Till button appears in the POS top bar, after Products. It reads Till Β· open while the till is open. On a phone it's under Staff tools. - After a staff member signs in, the POS offers to Start the till with the float the last close left. See Start the till and count the float. - Every payment taken on the POS goes on that device's till: cash, EFTPOS, card and other. Cash refunds made on it come out of its drawer. - Kiosk and online orders are on no till. They stay in Reports β†’ Sales Summary. Nothing ever stops a sale. If nobody starts the till, the first payment starts it with the carried float. It works with or without staff PINs. With them, the till records who started it, who paid cash in or out and who closed it. See Give staff their own PIN for the POS and Kiosk. One till per POS device login Each POS device login has one till. Two tablets signed in with the same login share it: one float, one count and one Z report for both. Give each tablet its own login: Users β†’ POS devices β†’ New POS device. The Cash drawer warning While no printer has Cash drawer ticked, the box warns you with one of these: - "No printer has Cash drawer ticked yet, so the till's drawer won't open and its X and Z reports won't print. In Settings > Printers, tick Cash drawer on the receipt printer at each till." - "No printer has Cash drawer ticked yet, so the till's drawer won't open, and its X and Z reports print on your printer named 1. In Settings > Printers, tick Cash drawer on the receipt printer at each till." Go to Settings β†’ Printers, edit the receipt printer at the till, and tick Cash drawer (A cash drawer is plugged into this printer). With more than one POS device, set Opens for to the device at that printer. The till's X and Z reports print at: 1. the printer with Cash drawer ticked whose Opens for is that POS device; else 2. a printer with Cash drawer ticked that opens for Every POS device; else 3. your docket printer named 1, the one that prints every order. Never a label printer, a KIOSK printer, or a printer with another name such as KITCHEN. Turn it off Untick On. The portal says "Cash management is off". Within a minute the POS stops showing the till, and new sales go on no till. A till that was open stays as it was, so close each till before you turn it off. While it's off, Cash-ups is hidden from Reports. Turn it back on to see your past cash-ups again. If something is not right | What you see | What to do | |---|---| | No Cash management box | Sign in with an admin login. If you are an admin, the POS isn't switched on for your store: contact us. | | No Till button on the POS | Wait a minute, or reload the POS. The till is on the POS only, never on a kiosk. | | The drawer doesn't open, or Print X is greyed out | See The cash drawer doesn't open, or the till won't print. |

Remove the 10-second delay on a CBA EFTPOS terminal

Commonwealth Bank (CBA) terminals on Linkly come with a delay of about 10 seconds between the card being approved and the POS or kiosk getting the answer. Customers wait at the terminal for no reason. CBA can remove it. This applies to any CBA terminal connected through Linkly, on a POS or a kiosk. Before you start - The terminal's TID (terminal ID). It's usually printed on the terminal's receipts. - Your Linkly Cloud username. The same one you pair the pinpad with. 1. Ask CBA to change the dialog timeout Email CBA's 24-hour merchant helpdesk at 24hr_helpdesk@cba.com.au. Include: - the terminal's TID; - your Linkly Cloud username; - the request: reduce the terminal's dialog timeout from 10 seconds to 1 second. Never put your Linkly password in the email. CBA don't need it, and email isn't a safe place for it. 2. When CBA confirm the change 1. Restart the terminal. 2. On the terminal, press Func, then 4 (Linkly). 3. Enter 11113333, then press OK. 4. Press Proceed on the screen. Done looks like: the next card payment shows approved on the POS or kiosk almost as soon as the terminal approves it. Other banks Other banks' terminals have their own settings. See Linkly's bank terminal support, or ask your bank. If something is not right | What you see | What to do | |---|---| | Still a 10-second wait after CBA confirmed | Restart the terminal and repeat step 2. If it's still slow, ask CBA to check the change was made on the right TID. | | You don't know your Linkly Cloud username | Ask your bank or Linkly. It's the username you entered when you paired the pinpad. |

The POS or Kiosk asks to sign in again

When a POS or kiosk shows its sign-in screen again, sign it back in with the device's email and password, then fix the cause so it stays signed in. Check which screen it is - POS Device Sign In or Kiosk Device Sign In, asking for Device Sign-in Email and Password: the device is signed out. Read on. - A PIN keypad, such as "Enter your staff PIN to start." or "This POS is locked": the POS is still signed in. Staff sign in with their own PIN. See Sign in to the POS with your staff PIN, switch and lock. Sign it back in Enter the device's email in Device Sign-in Email, its Password, and select Sign In. The email is under Users β†’ POS devices or Kiosk devices, in Device sign-in email. The Linkly pairing is kept with the device login, so it isn't asked for again. Only the sign-in is needed. See Sign in a POS or Kiosk and pair the EFTPOS terminal. Why a POS signs out The POS is a website, so the browser keeps its sign-in. It is lost when: - It runs in a guest, InPrivate or Incognito window, or in Edge's kiosk mode. These forget everything when they close. Use Chrome or Edge in a normal window. - The browser clears site data when it closes. Turn that off in the browser's privacy settings. - Someone clears the browser's history or cookies. - It isn't used for about four weeks. A POS used every day stays signed in. - It's opened at a different address, such as an old bookmark. The sign-in belongs to https://pos.mypreorder.com. See Set up a tablet or PC for the POS. Why a kiosk signs out Windows runs the kiosk in Microsoft Edge's kiosk mode, which is always InPrivate. Whatever the kiosk keeps, its sign-in included, is gone whenever Edge closes. - Edge's idle time isn't 0. Edge resets an idle kiosk by closing it and opening it again, which signs it out. With the 5-minute default, every quiet spell leaves the kiosk on its sign-in screen. Set the idle time to 0 (off) in the kiosk set-up. The kiosk has its own idle screen, so it doesn't need Edge's. - A restart, Windows update or power cut closes Edge too. The kiosk always needs signing in after one. Set Windows Update to install and restart outside trading hours. - It isn't used for about four weeks. See Set up a Windows PC as a kiosk. If something is not right | What you see | What to do | |---|---| | The POS sign-in screen every morning | The browser forgets on close: a guest, InPrivate or Incognito window, or site data cleared on close. Use a normal window and keep site data. | | The kiosk sign-in screen after a quiet spell | Edge's idle time isn't 0. Change it in the kiosk set-up. | | The kiosk sign-in screen after a restart | Expected with Edge's kiosk mode. Sign in again, and keep updates outside trading hours. | | "This login has been deactivated. The store can reactivate it in the merchant portal, under Users." | An admin set the device to Inactive. Set its Status back to Active under Edit. | | Signed out during the day, and none of the above fits | A manager may have chosen Sign out this device in manager mode. Sign in again. | | It asks to pair the pinpad again | The pinpad was changed or added again in Settings β†’ Eftpos Integration. Pair it with your Linkly details. |

Print straight from the POS to your printer

Have your POS send each docket, and open the cash drawer, the moment you take the sale. The POS prints straight to the Star printer over your shop's network, instead of waiting for the printer to check in with CloudPRNT. While a POS is open it also prints your online orders, within about 30 seconds. While no POS is open, CloudPRNT prints them, as now. Admins only. Available in POS version 4.4.0 and later. To see which version you have, select Manager, enter a manager's PIN and select Diagnostics. It's the App version under Build. Before you start - A Star printer with WebPRNT: mC-Print2, mC-Print3, TSP650II, TSP700II, TSP800II, or a TSP100 with WebPRNT firmware. Check its self-test page or web settings. - The printer already set up for CloudPRNT. See Set up a Star CloudPRNT docket or label printer. - An Epson with ePOS-Print is always printed by the POS: set it up with Set up an Epson receipt printer instead of the steps below. See An Epson printer below for how it differs. - The POS tablet or PC on the same network as the printer. - For a kiosk's printer, see A kiosk's printer below. 1. Give the printer a fixed address The POS reaches the printer by its IP address, so the address must never change. Ask whoever looks after your network to give the printer a DHCP reservation on your router. To find its address, switch the printer off, hold Feed while you switch it on, and let go when it starts printing: the self-test page shows the IP address. 2. Turn on WebPRNT on the printer Type the printer's IP address into a browser to open the Star Intelligent Network Utility. Make sure WebPRNT is enabled. Leave CloudPRNT on, at the same polling time: it's what prints while no POS is open. Check the printer's own option to open the drawer on every print is off. 3. Set the printer to The POS in the merchant portal 1. Go to Settings β†’ Printers, and select Edit on the printer. 2. Printed by (under How it prints): choose The POS devices, over your shop's network. 3. POS devices: tick each POS device that prints here. 4. When the POS is closed: keep Keep printing through CloudPRNT ticked. Untick it only if the printer has no CloudPRNT: then nothing prints there until a POS device is open. 5. IP address (under Connection): the printer's. Leave Port blank unless you changed it on the printer. 6. HTTPS: leave it off for Android tablets and Windows PCs. iPads need it (and the printer's certificate installed on the iPad). 7. Print data: StarPRNT for most current Star printers. It's filled in by itself once the printer has collected a job through CloudPRNT. 8. Select Save changes. A Star printer's How it prints and Connection sections in Settings β€Ί Printers: Printed by The POS devices, over your shop's network, with the POS device Cafe Demo POS ticked, When the POS is closed: Keep printing through CloudPRNT, then the MAC address, IP address 192.168.1.50 with Port blank, HTTPS unticked and Print data not set yet 4. Reload the POS and test it 1. On the POS, reload the page (or sign out and back in), so it picks up the printer. 2. Select Manager, enter a manager's PIN, and find Printers. 3. Select Check: "Reached it. Ready to print." 4. Select Test print. The first time, Chrome asks to let the POS reach devices on your local network: select Allow. A slip saying Test print comes out. If the paper shows garbage, the Print data is wrong: change it in the portal. 5. Ring up a small cash sale: the docket prints and the drawer opens straight away. When a docket doesn't print The Printer status button at the top of the POS, beside Help, shows how many didn't print. Select it to see your printers, and under this POS's printer each job that didn't print and why: - Fix the printer (paper, cover, power), then select Print again. It prints one copy at the same printer. - A cash sale whose docket didn't print didn't open the drawer either. Select Print again within 90 seconds of the sale and the drawer opens as the docket prints. - A cash drawer that didn't open on its own (No sale, Paid in, Paid out, a cash refund, cash taken in Orders) shows Open the drawer. Select it within 90 seconds and the drawer opens. It's still counted once on the till's report. - After 90 seconds the drawer won't open from the POS, and it says so: use the key. A drawer popping open long after the sale is worse than using the key. - Not confirmed means the POS never heard back from the printer. It may have printed, or opened the drawer: check before you print it again. The drawer isn't opened again for these. If the POS can't reach the printer at all, use Check in Manager β†’ Printers: it says what to look at. Orders for later When you take an order for later on the POS, it asks Print the docket now? Choose Print the docket now to print it straight away (it won't print again when it's due), or the time shown to let it print by itself when it's due. A cash sale's drawer opens at the sale either way. A kiosk's printer A kiosk can print its customer's receipt, with their card receipt, straight to its own KIOSK printer the moment they pay. 1. In Settings β†’ Printers, select Edit on the KIOSK printer. 2. Prints for (under Kiosks): tick the kiosk that prints here, or both kiosks if two side by side share it. 3. Printed by: choose The kiosks ticked above, over your shop's network. 4. When the kiosk is closed: keep Keep printing through CloudPRNT ticked. 5. IP address, HTTPS and Print data: as for a POS printer, in step 3 above. 6. Select Save changes, then reload the kiosk. 7. On the kiosk, open Manager and find Printers. Select Check, then Test print, and select Allow when Chrome asks to reach devices on your local network. The kiosk never shows a print problem to the customer. If a receipt didn't print, Manager β†’ Printers β†’ What didn't print lists it: fix the printer, then select Print again. A kiosk never opens a cash drawer. An Epson printer An Epson prints the same way, with the same Check, Test print, Printer status, Print again and Print the docket now. The differences: - No CloudPRNT. It's always printed by the POS (or the kiosk), and there's nothing to fall back on: while every POS is closed, nothing prints on it. Online orders print when a POS opens, up to 30 minutes after their pickup or delivery time. - A device ID instead of Print data. The printer answers only to its own device ID, set in the portal under Connection. Check says "The printer doesn’t know this device ID" when they don't match. - A docket turned away for a fault (cover open, out of paper) never prints later by itself, so Print again always prints it once. See Set up an Epson receipt printer. Switch back to CloudPRNT For a Star, set Printed by back to CloudPRNT in the portal. CloudPRNT prints again straight away, even with the POS open.

Choose and set up a barcode scanner for loyalty cards

A barcode scanner adds a customer to the POS order with one scan of the loyalty card in their app. Choose one that reads QR codes, pair it with the POS, and decide who scans: your staff, or the customers themselves. Available in POS version 4.4.0 and later. To see which version you have, select Manager, enter a manager's PIN and select Diagnostics. It's the App version under Build. You don't need a scanner to take a card: staff can scan it with the tablet's camera, or type the code under it. A scanner is faster at a busy counter. See Find a customer and add them to a POS order. What to look for - A 2D scanner. The loyalty card is a QR code on the customer's phone, and only a 2D scanner reads QR codes. A 1D or laser scanner reads striped barcodes only, so it can't read the card. - Keyboard mode. The scanner must work as a keyboard, often called HID or keyboard mode. Most scanners come set up that way. - Bluetooth for a tablet. On a PC, a USB scanner works too. We test the POS with a Netum C750, a small, low-cost handheld Bluetooth scanner. Handheld or hands-free - Handheld: staff pick it up, point it at the customer's phone and press the trigger. It's the cheapest kind, and it's all you need when staff do the scanning. - Hands-free: it stands on the counter and scans by itself as soon as a code is held under it, so customers can scan their own card while you take their order. Look for hands-free, presentation mode, auto-sense or auto scan when the scanner sits in its stand or cradle. Before you buy a hands-free scanner for a tablet, check two things: - It's Bluetooth. Most scanners sold as "presentation scanners" connect by a USB cable only. - It sends its scans straight to the tablet while it sits in its stand. Some Bluetooth scanners connect to their own cradle, and the cradle passes the scans on through a USB cable. With a tablet, those scans go nowhere. Check its manual has a way to pair the scanner with your tablet (often called HID Bluetooth) and to stop it reconnecting to the cradle when you put it back. Set it up 1. Charge the scanner. 2. Scan the setup barcodes in its quick start guide to set: - Bluetooth keyboard mode (often called HID or HID Bluetooth); - an Enter after each scan (often Add Enter or CR suffix); - no prefix of its own. For a hands-free scanner, also check its hands-free mode is on, and that it stays paired with the tablet while it sits in its stand. 3. On the tablet, open Settings β€Ί Bluetooth and select the scanner. On a PC, plug a USB scanner in, or pair a Bluetooth one the same way. 4. For a hands-free scanner, plug its stand or cradle into power (a USB phone charger, if it has a USB cable), and stand the scanner in it. 5. Test it: open the POS menu, open a member's loyalty card in your app (your own account works), and scan it. Done looks like "Added Sarah Chen", with the customer at the top of the order and their points. After a test, tap the customer, then select Remove from order. Let customers scan their own card - Put the scanner on the customer's side of the counter, in its stand, where they can hold their phone under it. Keep it close to the tablet: Bluetooth usually reaches about 10 metres, and less through walls or a counter. - Put a sign by it, such as "Scan your loyalty card here", and ask for their card as you start the order. - Keep the POS on the menu or at checkout while they scan. A scan adds the customer only there. On other screens, such as Orders, it adds nobody, and if a box has the cursor, the scan types into it. - Have them scan before the payment. A scan while the EFTPOS payment is on screen, or while the POS is locked, adds nobody. - One customer per order. If someone is already on the order, the POS says "Remove Sarah Chen first". Placing the order clears them, so the next customer's scan works on the next order. For where customers find the card in your app, see Tell customers about their loyalty card. If something is not right | What you see | What to do | |---|---| | The tablet's on-screen keyboard stops appearing after you pair the scanner | The tablet treats the scanner as a keyboard and hides its own. On Android, open Settings, search for physical keyboard, and turn on the option to show the on-screen keyboard (such as Show on-screen keyboard: the name varies by maker). On an iPad, many scanners have a setup barcode, or a double-press of the trigger, that brings the keyboard back: see its manual. | | The scanner beeps, but nobody is added and nothing is typed | It isn't connected to the tablet. Check the tablet's Bluetooth settings show it as connected. If it still happens, set its keyboard speed to the fastest, with no delay between characters. | | Nothing happens when a phone is held under a hands-free scanner | Check its hands-free mode is on and it's sitting right in its stand. Ask the customer to turn up their screen's brightness and hold the phone flat, a hand's width under the scanner. | | A scan does nothing on the Orders screen | Go back to the menu or checkout and scan again. | | "That card code has been used or has run out" | A code works once and for 10 minutes.
